Ishido - Communication

Tips for Successful Communication with fellow Ishidos and Clients

  • All Ishido response time is 1 business day
  • If an email is received at 8am on Monday the Ishido has until COB on Tuesday to respond to the email - this is to accommodate different time zones
  • Please be mindful of emails and try to reply to emails as soon as you are able to ensure that someone is not waiting on you.
  • If you will be out of the office for more than 24 hours please make sure to setup an automatic vacation response email to notify clients and ishidos that you will be out of the office.
  • If you are unable to maintain a 1 business day response time you will not be a good fit for working with clients or possibly LB overall.
  • If an Ishido has not responded within the 1 business day time frame - re-forward the email that was not responded to the Ishido
  • cc your mentor and TL as well as the TL of the Ishido that did not respond.
  • To ensure that Ishidos understand where to go if they have an issue with policy, have a grievance, questions or concerns within any area of Lifebushido please reference the following
  • In order maintain the highest degree of professionalism and out of consideration for Steve, other Newhires, Newshidos, Ishidos and especially clients– it is important for KATs, Callers and anyone participating in calls with Steve to have a clear and reliable telephone connection with no static or interference.
  • When participating in a call with Steve or as a part of everyday business operations with clients and other professionals, there should also be no background noise.
  • A requirement for working with Lifebushido is a reliable internet connection. If you have issues with your connection, make sure the Team you work with is aware and in the event that you are ever working with any time sensitive projects, please allow enough time for successful completion and delivery. An unreliable or “bad” connection is not an acceptable reason for incomplete tasks and missing a deadline for this reason is not only unacceptable, it can greatly affect the billable tasks assigned to you from a Team or Lifebushido in general.
  • Subject lines are extremely important at BAB as many Ishidos file their emails into folders by the keywords in the subject line of the email
  • Emails to clients subject lines should always be formatted as seen below:
  • Best Agent Business – Team Name – reason for email – client name - Date
  • If it is a Lifebushido client, then replace Best Agent Business with Lifebushido
  • Priority emails should have priority as the first word in the subject line
  • Emails to Ishidos subject line
  • Team Name – reason for email – client name - Date
  • Examples for all TURN emails
    • Testimonial - Client Name / Team Name - date
    • Upgrade Client Name / Team Name - date
    • Retention Client Name / Team Name - date
    • Networking Client Name / Team Name - date
  • Spell out Best Agent Business rather than use BAB. The same goes for Lifebushido, rather than LB, even if the client refers to us as BAB or LB.
  • BAB and LB can be used internally, just not with clients.
  • Always be professional and use professional language and proper grammar.
  • USE spell check!
  • Make sure your client’s name is spelled right.
  • Remember to include a greeting for each email, example: Dear Client or Hi Client. Use of client’s first name is fine, no need to address them as Mr. or Ms. unless the client tells you to use Mr. or Ms.
  • Address all in-house assistants by their name.
  • Make sure your email account is set up to show your first and last name
  • Not in all caps
  • Not in all lower case
  • Standard Name Format
  • Do not use hyphens - Steve doesn't like them
  • If you have an email with your maiden name, but go by your married name, please change to an email that uses your Married name
  • Do not use a shared email address for Lifebushido - email account must be specific for Lifebushido
  • Do not forward anything to a client from another Ishido that looks unprofessional or was a discussion meant only to be read between Lifebushido employees.
  • Some emails sent to clients need prior approval from Steve, KA, or TL. Draft your email first, and then send to appropriate person for approval, wait for approval before sending to client.
